The Asset Register

Asset records, categories, value & depreciation, search, import/export, and tagging

The register is the authoritative list of every physical asset your organization owns. Each row is one unit — a forklift, a crane, a server, a laptop — with its identity, condition, location, and (optionally) its financial value.

Under the hood: the register reuses Ambivo's installed_base entity. An owned asset is an installed-base record with Type = Equipment and Direction = Purchased. This means your assets flow naturally into Ambivo reporting and share one schema across products.

What Each Asset Record Holds

Asset Category

Asset category is an optional tag on each asset (e.g. crane, forklift, it_server, generator). It's a simple text field you can group and filter by — you don't have to fill it in. (It can later be promoted to a managed list with per-category defaults if you need controlled vocabulary.)

Asset Value & Depreciation

The value fields are optional and let you track purchase cost, salvage value, and a depreciation schedule (straight-line or declining-balance) per asset. Amounts are in the asset's currency; book value is calculated, not stored. Use these when you need finance/compliance reporting on asset value.

Finding Assets

  • Search — type a name, RFID EPC, serial, model, or manufacturer to filter instantly.
  • Filter by condition — narrow to operational, under-repair, or needs-service.
  • Tags — apply free-form tags to group assets across categories (e.g. "leased", "critical", "zone-A") and filter by them.
  • Click any row to open its full detail.

Adding & Editing Assets

  • Add one — create a record and fill in identity, location, and (optionally) value fields.
  • Bulk import — upload a spreadsheet (CSV/Excel) to onboard many assets at once. Columns map to the fields above; RFID EPC and serial are matched to avoid duplicates.
  • Export — download the register (filtered or full) as CSV/Excel for reporting or backup.

Tagging tip: commission the physical RFID tag when you add the asset — print/encode a tag and set its EPC on the record. See AB-020.
