Images & Attachments

Uploading files, tagging attachments, image lightbox, PDFs, and good practice

Every asset can carry photos and files — a picture of the unit and its label, a warranty PDF, a purchase receipt, a service manual. These live with the asset record, so anyone who opens it sees the evidence in one place.

Adding files

  • From an asset's detail drawer, open the Attachments panel.
  • Click Upload.
  • Pick one or more files. You can select several at once.
  • Supported types are images (image/*) and PDFs. Each upload is stamped with who added it and when.

Files are stored with the asset inside AssetBase — so attachments work on the on-premise appliance and fully offline, not just in the cloud.

Tagging attachments

Each attachment can carry one or more tags — short labels that classify what the file is. Tags make it easy to find or filter a specific kind of file on an asset.

A common use is the printed asset label: when you print an RFID or QR tag, a copy can be saved on the asset as an attachment tagged RFID-tag or QR-tag, so you always have a record of exactly what was affixed. Tags are free-form, so you can also use your own (e.g. warranty, receipt, photo).

Viewing images

  • Uploaded images appear as a thumbnail gallery on the asset.
  • Click any thumbnail to open the lightbox — a full-size viewer.
  • When there's more than one image, use the arrow buttons (or your keyboard's left/right keys) to cycle through them.
  • Each image shows its name and position (e.g. 2 / 5) and a download link.
  • Click the ✕ or outside the image to close.

PDFs and other files are listed separately below the gallery, each with a download link.

Removing an attachment

Hover the file or image and click the trash icon to delete it. Removing an attachment only removes that file — the asset record is untouched.

Good practice

  • Photograph on capture. When you tag and register an asset (see AB-020), snap a photo of the unit and its serial/RFID label — it makes later audits and disputes easy to settle.
  • Attach the paper trail. Keep the purchase receipt, warranty, and manual on the asset so value, end-of-life, and support details are always one click away.
  • One asset, one home. Because every file is back-referenced to its asset, evidence never gets separated from the thing it documents.
