Accounts Management

Company and account records, hierarchies, and linking contacts to business accounts

Accounts represent the companies and organizations you do business with. This guide covers how to create, manage, and organize accounts in Ambivo. (In the application sidebar, accounts are labeled Companies.)

What Is an Account?

An account is a company or organization record in Ambivo. Accounts serve as the central hub for all business relationships with a particular company. They connect to Contacts (the people at that company), Opportunities (the deals you are pursuing), Orders, Invoices, and more.

Accounts can represent different types of business relationships:

  • Customers — Companies that buy from you
  • Vendors — Companies that supply goods or services to you
  • Partners — Companies you collaborate with

Getting There

  • Log in to Ambivo
  • Make sure you are in the CRM application
  • Click Accounts in the left sidebar
  • You will see a list of all accounts you have access to, with columns showing company name, industry, owner, and status

Create a New Account

    Open the create form

    From the Accounts list, click the + New button.

  2. 2

    Fill in key fields

    Account Name (company name); Industry (optional but recommended); Website (optional); Phone (optional).

    Set relationship type and owner

    Set the Relationship Type (Customer, Vendor, or Partner). Assign an Owner — the team member responsible for this account.

    Add details and save

    Add additional details like address, description, or custom fields. Click Save.

What Happens Next

The account appears in your accounts list. You can now link contacts, create opportunities, and associate other records with it.

View and Edit an Account

    Open the account

    Click on any account in the list to open the detail page.

  2. 2

    Review information

    Review all account information in the organized sections.

  3. 3

    Edit and save

    Click on a field or the Edit button to make changes. Click Save when done.

The account detail page shows:

  • Company Information — Name, industry, website, phone, address
  • Linked Contacts — People who work at this company
  • Opportunities — Active deals with this company
  • Orders and Invoices — Financial records
  • Activity Timeline — Interaction history across all contacts at this company
  • Tasks — Action items related to this account
  • Files — Attached documents
  • Notes and Comments — Team discussions

Link Contacts to an Account

Contacts represent the people at an account. You can link existing contacts or create new ones directly from the account page.

Link an Existing Contact

    Open the account

    Open the account's detail page.

  2. 2

    Find Contacts section

    Find the Contacts section and click Add Contact or Link Contact.

  3. 3

    Select contact

    Search for the contact by name or email, select the contact, and confirm.

Create a New Contact from an Account

    Open the account

    Open the account's detail page.

    Start new contact

    Find the Contacts section and click + New Contact.

  3. 3

    Fill in and save

    Fill in the contact details — the account will be automatically linked. Click Save.

Account Types and Relationship Types

Accounts can be categorized by their relationship to your business:

Changing the Relationship Type

    Open the account

    Open the account's detail page.

  2. 2

    Update type

    Find the Relationship Type field and select the new type.

  3. 3

    Save

    Click Save.

Filter and Search Accounts

Search

Use the search bar to find accounts by company name, industry, or other details.

Quick Filters

  • Favorites — Accounts you have starred
  • Assigned Today — Accounts recently assigned to you

Advanced Filtering

  • Click the Filter icon
  • Add conditions (e.g., Industry equals "Technology", Relationship Type equals "Customer")
  • Apply the filter

View Account Activity Across Contacts

One of the most powerful features of the account page is seeing all activity across every contact at that company in one place.

    Open the account

    Open the account's detail page.

    Review timeline

    Scroll to the Activity Timeline.

  3. 3

    See full engagement

    Review emails, meetings, calls, and notes from all contacts linked to this account.

This gives you a complete picture of your team's engagement with the company, even if multiple team members are working with different people there.

Common Questions

What is the difference between an Account and a Contact?

An Account represents a company or organization. A Contact represents an individual person. Contacts are linked to accounts to show who works where.

Can an account have multiple contacts?

Yes. An account can have as many linked contacts as needed — for example, the CEO, the purchasing manager, and the IT director at the same company.

How are accounts created from lead conversion?

When you convert a lead, Ambivo creates an account using the lead's company information. If an account with the same name already exists, you can choose to link to the existing account instead of creating a duplicate.

Can I track both customers and vendors in the same module?

Yes. Use the Relationship Type field to distinguish between customers, vendors, and partners. You can filter the accounts list by relationship type.

Tips and Best Practices

  • Always fill in the Industry field to help with segmentation and reporting
  • Link all relevant contacts to their account so your team has a complete view of the relationship
  • Review the account's Activity Timeline before important meetings to see the full history of engagement
  • Use Favorites to star your top accounts for quick access
  • Keep account information current — update the address, phone, and website when they change
