Welcome and Platform Overview
Introduction to Ambivo CRM, navigation, and core concepts for new users
Ambivo is an all-in-one business platform that helps you manage your customer relationships, sales pipeline, marketing campaigns, and day-to-day operations from a single place. This guide introduces the platform, its main applications, and how to navigate around.
What Is Ambivo?
Ambivo is a cloud-based business platform designed for teams that want to manage leads, close deals, send invoices, run marketing campaigns, and automate repetitive work — all without switching between multiple tools. Whether you are a solo entrepreneur or part of a larger sales team, Ambivo adapts to your workflow.
The platform is organized into several applications, each focused on a specific area of your business. You can switch between them seamlessly, and your data flows across all of them.
Main Applications
Ambivo includes the following applications. Depending on your subscription and role, you may see all or some of these.
CRM (Customer Relationship Management)
The CRM is the heart of Ambivo. It is where you manage your sales pipeline from first contact to closed deal.
- Leads — Track prospective customers who have shown interest in your product or service
- Contacts — Manage individual people you do business with
- Accounts (shown as Companies in the app) — Organize companies and organizations
- Opportunities — Track deals and their progress through your sales pipeline
- Products — Maintain your product or service catalog
Commerce (Sales)
The Commerce application handles the financial side of your business:
- Orders — Create and manage sales orders
- Invoices — Generate and send invoices to customers
- Payments — Record and track payments received
- Subscriptions — Manage recurring billing arrangements
- Commissions — Track sales commissions for your team
Properties
For real estate and property management businesses, the Properties application lets you manage listings, units, floor plans, and property details.
Marketing
Run targeted marketing campaigns, track campaign performance, and manage your marketing sources to understand where your best leads come from.
Client Portal
Give your customers a self-service portal where they can view files, manage their profile, handle billing, and submit requests.
Navigating the Platform
When you log in to Ambivo, you will see the main workspace. Here is how to find your way around.
The Sidebar (Left Navigation)
The left sidebar is your primary navigation menu. It contains links to all the modules available in your current application:
- Tasks — Your to-do list and task management
- Calendar — Schedule and manage events
- Emails — Access your connected email inbox
- Files — Manage your documents and drive
- Campaigns — Marketing campaigns
- Widgets — Embeddable forms and scheduling tools
- E-Sign — Digital contract signing
- Your Objects — Leads, Contacts, Accounts, Opportunities, and any custom objects
- Automation — Business process automation rules
- Performance — Sales performance dashboards
- Routing — Lead and contact distribution
- Settings — System configuration
The Top Bar
The top bar provides quick access to:
- Search — Find any record across the platform by typing a name, email, or keyword
- Theme Toggle — Switch between light and dark mode
- Apps Panel — Switch between CRM, Sales, Properties, and other applications
- Your Profile — Access account settings, security, and sign out
The Extension Drawer (Right Panel)
Some actions open a slide-out panel on the right side of the screen. This is used for quick previews, record details, and contextual actions without leaving your current page.
Switching Between Applications

Open Apps panel
Click the Apps icon in the top bar.

Select application
Select the application you want to open from the panel. The sidebar updates to show the modules for that application. Your place in the previous application is preserved.
Key Terminology

| Record | A single entry in any module — for example, one lead, one contact, or one invoice |
| Module | A section of the platform focused on one type of data (e.g., Leads, Tasks, Orders) |
| Pipeline | A visual representation of stages that a deal or opportunity moves through |
| Stage | A step in a pipeline (e.g., Prospecting, Negotiation, Closed Won) |
| Tenant | Your company's workspace in Ambivo — all your team members share one tenant |
| Object | A category of business data (e.g., Leads, Contacts). You can also create custom objects |
| Widget | An embeddable tool (form, scheduler, payment link) you can place on your website |
| Automation | A rule that performs actions automatically when certain conditions are met |
Common Questions
How many people can use our Ambivo account?
The number of users depends on your subscription plan. Your administrator can add or remove team members from Settings.
Can I customize what I see in the sidebar?
Yes. Your administrator can enable or disable features from Settings > Features. Only enabled features appear in the sidebar.
Is my data shared across all applications?
Yes. A contact created in the CRM is available when creating an order in Sales. Your data is unified across the platform.
Tips and Best Practices
- Use Search in the top bar to quickly jump to any record instead of browsing through lists
- Pin your most-used modules in the sidebar for faster access
- Switch to dark mode if you prefer a darker interface — click the theme toggle in the top bar
- Explore Settings > Features to see all available capabilities and enable the ones your team needs
