Setup Assistant and Onboarding

Initial workspace setup, onboarding checklist, and configuration wizard for new tenants

When you first create your Ambivo workspace, the Setup Assistant guides you through the essential configuration steps. This guide walks you through completing your setup so your team can start working.

What Is the Setup Assistant?

The Setup Assistant is a step-by-step checklist that appears when you first log in as an administrator. It helps you complete the foundational setup tasks — things like entering your company information, verifying your domain, enabling features, and inviting team members.

You do not have to complete all steps at once. You can return to the Setup Assistant at any time to finish remaining items.

Getting There

  • Log in to Ambivo as an administrator
  • The Setup Assistant appears automatically if setup is incomplete
  • You can also access it from the Setup section or the notification panel

Complete Your Company Profile

    Open company profile

    In the Setup Assistant, click Company Profile.

    Fill in details

    Enter Company Name, Industry, Company Size, Phone Number, Address, Website, and Use Case Description. Upload your Company Logo (optional). Click Save.

Why This Matters

Your company profile is used in invoices, emails, and communications sent from the platform. A complete profile also helps with the approval process.

Verify Your Domain

Domain verification proves that you own the email domain your team uses (e.g., yourcompany.com). This is important for email deliverability and security.

    Get verification record

    In the Setup Assistant, click Domain Verification. You will see a verification code (a DNS TXT or CNAME record).

    Add DNS record

    Add this record to your domain's DNS settings through your domain registrar or DNS provider.

  3. 3

    Confirm verification

    Return to Ambivo and click Check Verification. If the DNS record is found, your domain is verified.

What If Verification Fails?

DNS changes can take up to 24-48 hours to propagate. Wait and try again. Make sure you entered the exact value shown in the Setup Assistant.

Allowed Email Domains (For Inviting Team Members)

When you invite a new user to your tenant, their email address must match the tenant's primary domain — unless their domain has been added to the Allowed Email Domains list.

How It Works

  • Each tenant has a primary domain (the one you verified above — e.g., example.com)
  • All invited users must have an email at that primary domain
  • If you need to invite users from a different domain, add their domain to the Allowed Email Domains list
  • Personal email providers (Gmail, Yahoo, Outlook.com, etc.) are blocked by default unless Allow personal email domains is enabled

Steps to Add an Allowed Domain

    Add domain

    Go to Settings → Allowed Email Domains, click + Add Domain, and enter the additional domain (lowercase, with no @ or www.).

    Verify domain

    Complete domain verification for the new domain. Once verified, users with email addresses at that domain can be invited.

Important Rules

  • Domains claimed by another tenant cannot be added
  • All additional domains must be verified before users from that domain can register
  • If you invite a user whose email belongs to a different active tenant, the system may add them as a Guest rather than a full user
  • If you try to invite a user whose domain is not allowed, you will see a blocking error pointing you to Settings → Allowed Email Domains

Enable Features

    Open features

    Go to Settings > Features (or click Features in the Setup Assistant).

    Toggle features

    Browse available features and toggle on or off: E-Sign, Campaigns, Automation, Widgets, Routing, and more. Enabled features appear in the sidebar for all users.

What Happens Next

Activated features become available immediately. Your team members will see the new options in their sidebar navigation.

Invite Team Members

    Send invitation

    Go to Settings or click Invite Users in the Setup Assistant. Click + Invite User, enter the team member's Email Address, assign a Role, and click Send Invitation.

    Team member joins

    The team member receives an email with a link to join your workspace.

Roles

Connect Billing

If you plan to use paid features or need to manage your subscription:

    Open billing

    In the Setup Assistant, click Billing or go to Settings > Usage & Billing.

  2. 2

    Connect payment

    Click Connect Payment Method, enter your credit card or payment details, choose your Subscription Plan if applicable, and confirm.

Account Approval

After completing your profile and verification, your workspace goes through an automated approval check.

  • Email and phone validation
  • Domain verification status
  • Profile completeness
  • Use case description (for public email domains like Gmail or Yahoo)

What Happens Next

  • If all checks pass, your workspace is fully approved and all features are unlocked
  • If additional review is needed, you may be contacted for more information
  • Some features may be limited until approval is complete

Common Questions

Do I have to complete all setup steps right away?

No. You can start using Ambivo with partial setup. However, some features (like email campaigns or billing) may require specific steps to be completed first.

Can I change my company profile later?

Yes. Go to Settings at any time to update your company profile, logo, and other details.

What if I use a personal email domain (Gmail, Yahoo)?

Ambivo requires a use case description for accounts using public email domains. This helps with approval and ensures the platform is used appropriately.

How do I get back to the Setup Assistant?

Look for the Setup section in the sidebar or a setup notification in the top bar. Incomplete setup steps are always accessible.

Tips and Best Practices

  • Complete all setup steps as soon as possible to unlock the full platform
  • Use a company email domain (not Gmail/Yahoo) for a smoother approval process
  • Upload your company logo early — it appears on invoices, emails, and the client portal
  • Start with a few key features and enable more as your team gets comfortable
  • Create custom roles that match your organization's structure before inviting team members
