File Management

Upload and organize files, attach documents to CRM records, and connect Google Drive or OneDrive

Ambivo includes a built-in file manager where you can upload documents, organize them into folders, and attach files to your CRM records. You can also connect your Google Drive or Microsoft OneDrive for seamless access to your cloud files.

What Is File Management?

The Files module is your central place for managing business documents — proposals, contracts, presentations, spreadsheets, images, and any other files your team needs. Files can be stored in Ambivo directly or accessed through a connected cloud drive.

Getting There

  • Log in to Ambivo
  • Click Files in the left sidebar
  • You will see the file manager with your folders and files displayed in a grid or table view

Upload Files

    Navigate to folder

    In the Files section, navigate to the folder where you want to upload.

    Upload

    Click the Upload button, select one or more files from your computer, and wait for the upload to complete.

What Happens Next

The files appear in the current folder. They are available to you and your team members who have access.

Create Folders

    Create folder

    In the Files section, click + New Folder, enter a Folder Name, and click Create or Save.

Organizing Files

  • Drag and drop files between folders, or use the Move option
  • Create nested folders (folders within folders) for more detailed organization
  • Rename files or folders by right-clicking or using the Rename option

View Modes

The file manager supports two views:

  • Grid View — Displays files as thumbnails in a grid layout, useful for visual browsing
  • List View — Displays files in a list with columns for name, size, date, and type, useful for sorting and scanning

Switch between views using the toggle at the top of the file manager.

Attach Files to Records

You can attach files to leads, contacts, accounts, opportunities, and other records so that all relevant documents are easily accessible.

From the Record Page

    Open the record

    Open a lead, contact, account, or opportunity.

    Attach file

    Find the Files section on the detail page, click Attach File or Upload, and select a file from your computer or choose an existing file from the file manager. The file is now linked to this record.

From the File Manager

    Open file options

    Right-click a file (or click its options menu) and select Link to Record.

    Link record

    Search for and select the record you want to attach it to, then confirm.

Connect Google Drive

Access your Google Drive files directly from Ambivo without downloading and re-uploading.

    Open integrations

    Go to Account Settings (click your profile icon), then click Integrations or Drive.

    Connect Google Drive

    Select Connect Google Drive, sign in with your Google account, and grant permissions. Your Google Drive files become accessible in the Ambivo file manager.

Connect Microsoft OneDrive

    Open integrations

    Go to Account Settings, then click Integrations or Drive.

    Connect OneDrive

    Select Connect OneDrive, sign in with your Microsoft account, and grant permissions. Your OneDrive files become accessible in the Ambivo file manager.

File Actions

Depending on the file type, you can perform these actions:

Common Questions

What file types can I upload?

Ambivo supports most common file types including PDFs, Word documents, spreadsheets, images (PNG, JPG), presentations, and more.

Is there a file size limit?

File size limits depend on your subscription plan. Check with your administrator for specific limits.

Can other team members see my files?

Files in shared folders are visible to team members with appropriate access. Files attached to records are visible to anyone who can view that record.

What happens if I disconnect my Google Drive or OneDrive?

Files that were only accessed through the connected drive will no longer be available in Ambivo. Files that were uploaded directly to Ambivo are not affected.

Tips and Best Practices

  • Create a consistent folder structure (e.g., by client, project, or department) so files are easy to find
  • Always attach proposals, contracts, and key documents to the relevant opportunity or account record
  • Use the List View when searching for specific files — you can sort by name, date, or size
  • Connect your cloud drive early so all your documents are accessible from one place
  • Use descriptive file names so team members can find what they need without opening every file
