Sign Up, Login, and Authentication
Create your account, sign in, reset passwords, and configure multi-factor authentication
This guide covers how to create your Ambivo account, log in, reset your password, and secure your account with multi-factor authentication (MFA).
What Is Authentication?
Authentication is the process of verifying your identity before you can access the platform. Ambivo supports multiple ways to sign in, including email and password, Google sign-in, Microsoft sign-in, and one-time passcodes (OTP). You can also add an extra layer of security with multi-factor authentication.
Creating Your Account
- 1
Sign up
Go to the Ambivo sign-up page. Enter your Full Name, Email Address, and create a Password. Optionally, sign up using Google or Microsoft. Review and accept the terms of service, then click Sign Up.
- 2
Confirm email
Check your email inbox for a confirmation email from Ambivo. Click the confirmation link to activate your account.
What Happens Next
Once you confirm your email, your account is created. Depending on your organization's setup, you may be taken directly to the platform or asked to complete additional onboarding steps. If you were invited by an administrator, your account is automatically linked to your organization's workspace.
Email Domain Requirements
When a new user is added to a tenant, their email address must match the tenant's domain — unless that user's domain has been explicitly whitelisted.
How It Works
- Each tenant has a primary domain (e.g., example.com)
- All new users must register with an email address ending in that primary domain — unless their domain has been added to the tenant's Allowed Email Domains list
- If your tenant works with subsidiary brands, contractors, or partners on a different domain, an administrator can add those additional domains
- Personal email providers (Gmail, Yahoo, Outlook.com, etc.) are blocked by default. An administrator can enable Allow personal email domains if needed
Adding Allowed Email Domains (Admin)
- 1
Add domain
Go to Settings → Allowed Email Domains and click + Add Domain. Enter the additional domain (e.g., subsidiary.com) — lowercase, with no @ or www.
- 2
Verify domain
Complete domain verification for the new domain (DNS-based proof of ownership). Once verified, anyone with an email at that domain can be invited.
Important Rules
- Domains claimed by another tenant cannot be added
- All additional domains must be verified before users from that domain can register
- If you invite a user whose email domain belongs to a different active tenant, the system may add them as a Guest instead of a full user
What You'll See If a Domain Is Not Allowed
If you try to invite a user with an email domain that is not permitted, you will see a message like: "Cannot add this user. The email domain acme.com isn't allowed for your tenant (example.com). To allow this email, an administrator can add acme.com to Settings → Allowed Email Domains, or enable Allow personal email domains if this is a personal email."
Logging In
- 1
Log in
Go to the Ambivo login page, enter your Email Address and Password, and click Log In.
Alternative Login Methods
- Google Sign-In — Click the Google button to log in with your Google account
- Microsoft Sign-In — Click the Microsoft button to log in with your Microsoft account
- OTP (One-Time Passcode) — Click Login with OTP, enter your email, and check your inbox for a one-time code
Resetting Your Password
- 1
Request reset
On the login page, click Forgot Password?, enter the email address associated with your account, and click Send Reset Link.
- 2
Set new password
Check your email for a password reset link. Click the link, enter your new password, and click Save or Reset Password to confirm.
What Happens Next
You will be redirected to the login page. Log in with your new password.
Multi-Factor Authentication (MFA)
Multi-factor authentication adds a second step to your login process, making your account much more secure. Even if someone knows your password, they cannot log in without the second factor.
Setting Up MFA
- 1
Open security settings
Log in to Ambivo, click your profile icon, and go to Account Settings or Security.
- 2
Enable MFA
Find the Multi-Factor Authentication section, click Enable MFA, choose SMS or email, and follow the on-screen instructions to complete setup.
Logging In with MFA
- 1
Enter credentials
Enter your email and password as usual.
- 2
Verify
When prompted, enter the verification code sent to you by SMS or email and click Verify to complete login.
Managing Active Sessions
- 1
Review sessions
Go to Account Settings and click Active Sessions. Review the list of active sessions, including device type, location, and last activity time.
- 2
Revoke access
To sign out a session you do not recognize, click the Logout icon next to that session (or click Logout everywhere to end all sessions).
Common Questions
I did not receive the confirmation email. What do I do?
Check your spam or junk folder. If you still do not see it, try signing up again with the same email — the system will resend the confirmation. Contact your administrator if the issue persists.
Can I change my email address after signing up?
Yes. Go to Account Settings and update your email in the Personal Info section. You will need to verify your new email address.
What if I lose access to my MFA method?
If you can no longer receive codes at your registered phone number or email, contact your organization's administrator to reset your MFA.
Can multiple people share one login?
No. Each user should have their own individual account. This ensures proper access control and activity tracking.
Tips and Best Practices
- Use a strong, unique password that you do not use on other websites
- Enable MFA for maximum security — it only adds a few seconds to your login
- Save your MFA recovery codes securely (e.g., in a password manager)
- If you use Google or Microsoft sign-in, keep that account secure as well
- Review your Active Sessions periodically and revoke any you do not recognize
